Billing & Subscriptions

Tapboard offers flexible subscription plans to match your business needs. Manage your plan, view usage, and update payment information all from the Billing page.


Accessing Billing

Navigate to Billing in the sidebar. Only account owners can manage billing.


14-Day Pro Trial

Every new Tapboard account starts with a 14-day Pro trial. No credit card is required to sign up.

During the trial:

  • Every Pro feature is available: POS integration, Canva integration, custom template branding, multiple menu boards, ad playlists, 10 GB media storage, and a larger team.
  • An orange banner across the top of the dashboard counts down the days remaining and links to the Billing page.
  • The Billing page's Current Plan card shows your plan as "Pro" with a "Free trial" badge and the date the trial ends.
  • The Next Billing card shows the number of days remaining in your trial instead of a payment amount.

Subscribing during the trial

Subscribe any time before day 14 to keep Pro running uninterrupted. Open the Billing page, pick a plan and interval, and complete checkout. The trial state clears the moment your subscription is active.

What happens when the trial ends

If you don't subscribe by day 14, your account is locked out. The dashboard locks to the Billing page immediately, and your Fire TV displays begin the grace period described below. The following side-effects apply automatically:

  • POS connections are disconnected. Your Square (or other POS) connection is set to disconnected. Your tokens are preserved—you can re-activate by subscribing again—but no new syncs run.

  • POS-sourced menu items are deactivated. Any items pulled in from a POS sync are set inactive. They remain in the dashboard, just hidden from published manifests. Items you created manually inside Tapboard are not affected by the POS-disconnect step (but they may still be deactivated by the limit-enforcement step below).

  • Template customizations are preserved. Any template overrides you applied during the trial stay attached to your menu boards. They keep rendering on screens already published. You cannot edit them further on Sampler, but they reactivate if you later subscribe.

  • Plan limits are enforced, not grandfathered. Every Sampler limit is applied retroactively. The most-recently-created resources are kept up to each limit; anything beyond it is deactivated (data is preserved, just hidden):

    Media storage0 GBNewest media kept up to the GB cap, oldest beyond it soft-deleted. The underlying S3 files stay; restoring a row brings the asset back. For Sampler (0 GB), all media is soft-deleted.

    Nothing is hard-deleted. If you later subscribe, you can re-enable any of these resources manually from their respective pages, and soft-deleted media can be restored from the Media Library's trash view.

  • Displays get a 3-day grace period, then show a "Display paused" screen. Your Fire TVs keep showing their last published menu for a 3-day grace period after the trial ends. If you still haven't subscribed when the grace period elapses, each display switches to a branded "Display paused" screen — "This Tapboard subscription has ended. Please renew to restore your displays." — with a link to renew. The moment you subscribe, your displays return to their menus automatically on the next sync.

  • Dashboard is locked to the Billing page. Any attempt to navigate to menus, screens, integrations, etc. redirects you to the Billing page. Only Billing, Profile, and Logout remain accessible. All your data is preserved — nothing is deleted, just inaccessible until you subscribe.

If you subscribe after a trial has ended, all Pro features reactivate immediately and the dashboard unlocks. POS connections can be re-connected via the Integrations page, and a fresh sync will reactivate the items it produces. Resources that the limit-enforcement step deactivated stay inactive until you manually re-enable them. Your Fire TV displays return to their menus automatically on the next sync — any screens that the Sampler limits archived stay archived until you re-enable them.

Usage Dashboard

The Billing page shows your current resource usage compared to your plan limits:

  • Locations used — e.g., 1 of 1
  • Screens used — e.g., 2 of 3
  • Categories used — e.g., 5 of Unlimited
  • Menu Items used — e.g., 42 of Unlimited

This helps you see at a glance whether you're approaching any limits and need to upgrade.

Plan Limit Modal

If you try to add a resource (location, screen, menu, category, item, team member, ad playlist, etc.) that would exceed your current plan limit, Tapboard shows a plan limit modal explaining which limit you have hit and offering a one-click path to upgrade. The same enforcement applies across every resource in the dashboard, so you cannot accidentally create more content than your plan allows.


Live Chat Support

Pro and Platinum plans include access to the Crisp live chat widget directly inside the Tapboard dashboard.

  • Look for the chat bubble in the lower-right corner of any page in the admin.
  • Click it to start a conversation with the Tapboard support team.
  • Chat history is preserved across sessions, so you can pick up a conversation where you left off.

Platinum plans receive priority response times. Sampler and Starter plans do not include live chat. For those plans, contact support@tapboard.app by email.


Suspended / Disabled Organizations

If your organization is suspended (for example, due to a billing failure or a policy violation), the following restrictions take effect immediately:

  • You cannot log in to the Tapboard dashboard.
  • API access is blocked, so any external integrations stop working.
  • Publishing is blocked, so screens cannot push new manifests to devices.

Devices already paired continue displaying the last published manifest until the screen is republished. To restore access, contact support@tapboard.app to resolve the underlying issue.


Upgrading Your Plan

  1. Go to Billing.
  2. Click Upgrade or select the plan you want.
  3. Choose Monthly or Annual billing.
  4. You will be taken to the Stripe checkout page.
  5. Enter your payment information and confirm.
  6. Your new plan takes effect immediately, and you gain access to the higher limits.

What Happens When You Upgrade

  • New resource limits apply immediately.
  • Existing content is not affected.
  • You are charged the prorated amount for the remainder of your billing cycle.

Downgrading Your Plan

  1. Go to Billing.
  2. Select the lower-tier plan.
  3. Confirm the downgrade.

What Happens When You Downgrade

  • The downgrade takes effect at the end of your current billing period.
  • If your current usage exceeds the new plan's limits, you will need to reduce your resources (delete extra screens, locations, etc.) before the downgrade processes.
  • You will not lose any data immediately, but you won't be able to create new resources beyond the lower limits.

Canceling Your Subscription

  1. Go to Billing.
  2. Click Cancel Subscription.
  3. Confirm the cancellation.

What Happens When You Cancel

  • Your subscription remains active until the end of the current billing period (grace period).
  • During the grace period, you can resume your subscription at any time.
  • After the grace period ends, your account reverts to the Sampler (free) plan limits.
  • Your data is retained, but you may lose access to resources that exceed the free plan limits.

Resuming a Canceled Subscription

If you canceled but are still within the grace period:

  1. Go to Billing.
  2. Click Resume Subscription.
  3. Your subscription continues as if it was never canceled.

Updating Payment Method

  1. Go to Billing.
  2. Click Update Payment Method or Billing Portal.
  3. You will be taken to the Stripe billing portal where you can:
    • Update your credit card.
    • View payment history.
    • Download invoices.

Billing FAQ

When am I charged? You are charged immediately when you subscribe or upgrade, then on the same date each month (or year for annual plans).

Can I switch between monthly and annual billing? Yes. Go to Billing and select the desired interval when changing plans.

What payment methods are accepted? All major credit and debit cards via Stripe (Visa, Mastercard, American Express, etc.).

Is there a free trial? The Sampler plan is free forever with limited features. You can use it indefinitely to evaluate Tapboard before upgrading. No credit card is required for the free plan.

Can I select a plan during registration? Yes. If you choose a paid plan from the pricing page, the plan and billing interval are carried through to registration. After creating your account, you are automatically taken to the Stripe checkout page to complete your subscription.

Do I get a refund if I cancel mid-cycle? Contact support@tapboard.app for refund requests.
